Working pattern 37.5 hours per week on average, with occasional evenings and weekends.

The role is based in Intermission’s office in Shoreditch.

It identifies and encourages emerging talent, supports and celebrates the independent film community and promotes British film and talent to the public, both through the annual awards ceremony and through year-round initiatives, events and campaigns.

Intermission are a key BIFA partner, a loyal supporter of the awards and the independent film industry, and produce all the AV for the ceremony in December.

PRODUCTION ASSISTANT

BIFA and Intermission are offering an exciting opportunity for someone looking to gain valuable experience in film awards, post-production and editing. The role will be split across both organisations, allowing the successful applicant to train and work across BIFA’s entry processes and events and Intermission’s AV production pipeline for BIFA from July to December 2024.

We’re looking for someone who is a skilled and efficient administrator, who is able to manipulate large amounts of detailed information quickly and accurately whilst sticking to strict deadlines.

The Production Assistant will help deliver key aspects of BIFA’s entry process and Intermission’s production work over six crucial months of the year for both companies, culminating at the annual BIFA ceremony in early December.

Although the Production Assistant will work for both organisations, it is expected that BIFA work will take priority for the first three months (July to September) and Intermission work for the latter three months of the contract (September to December).

RESPONSIBILITIES
Administration of the entry process including (but not limited to):

  • Processing short film entries and assisting with feature entries
  • Liaising with short film entrants
  • Collating longlisted short film materials
  • Gathering and licensing longlisted film clips and ensuring correct clip formats and content is provided
  • Preparation of materials for voter sub-group meetings
  • Take and distribute notes at voter sub-group meetings
BIFA
Supporting the BIFA team in

  • Planning and production of live events such as dinners, announcements and the awards ceremony
  • Editing content for the BIFA social channels managing meetings with voters, jurors, committees and other stakeholders
  • Assorted day-to-day administrative and communication tasks
BIFA
  • Maintaining production, edit and GFX schedules in relation to BIFA workflow
  • Communicating BIFA priorities and timelines to the production team
  • Booking editing time for BIFA projects
  • Tracking and logging time spent on BIFA projects
Intermission
  • Writing briefs for editors / GFX artists
  • Ensuring editors and GFX designers have all relevant BIFA materials before they are scheduled to work on the project
  • Storing, tracking and managing material needed for BIFA edits
  • Liaising with music providers  & licensing tracks for reels and ceremony
  • Editing feature material to key moments needed for final edit, logging timecodes
  • Proofing edits and graphics and communicating amendments and corrections
  • Handling the quality control and delivery of project assets, checking all deliverables are correct and to specs.
  • Ensuring smooth communication between BIFA, Intermission and suppliers, and anticipating the needs of the project, both in creative and finishing.
  • Liaising with any external partners, ensuring that their materials follow BIFA and Intermission guidelines.

ESSENTIAL SKILLS

  • Organisation, administration and attention to detail: these are the most important aspects of this role. The success of the awards depends on its processes being managed efficiently and accurately; we are looking for someone with a flair and affinity for coordinating intricate and complex projects
  • Time management and multi-tasking: the awards timeline gets very tight and lots of things happen at once, so a calm head under pressure is also very important
  • Self-motivated and with plenty of initiative: able to work independently or from home, happy working with small teams, able to manage a heavy workload
  • Communication: excellent verbal and written communications skills
  • Creative: experience in editing and video content creation
  • Passionate about film and the work and talent that BIFA celebrates
  • Proficiency in Adobe Premiere Pro
  • A working knowledge of the following software / programmes: Microsoft Office, Google Drive, Zoom
  • Passionate about film and the work and talent that BIFA celebrates

DESIRABLE SKILLS

  • Experience and knowledge of the UK film industry
  • Awareness of industry issues e.g. diversity and inclusion, accessibility
  • Awareness of the post-production process and file codecs
  • Proficiency in: WordPress, Keynote, Eventbrite, Notion, Slack, Mailchimp, Xodo
