JOB DESCRIPTION
BIFA is recruiting a full time (fixed term) member of staff to join its team. The Administrator will support the entry process for the Awards in addition to providing administrative support for BIFA’s training and talent development programmes, as well as supporting other aspects of BIFA’s industry and awards activities.
We’re looking for someone who is a skilled and efficient administrator, who is able to manipulate large amounts of detailed information quickly and accurately whilst sticking to strict deadlines.
BIFA is at the heart of the UK independent film industry and this role will support the awards process and expanding programme of support for independent filmmakers.

Salary | £1795.62 per month (London Living Wage – £11.05 p/h based on 37.5 h/w) |
Working pattern | Due to regular industry events, the role requires working occasional evenings and weekends
The role is based in our London office in Golden Square |

RESPONSIBILITIES
- Administration of the entry process including (but not limited to):
- processing short film entries and assisting with feature entries
- liaising with short film entrants
- collating long listed short film materials
- preparation of materials for shorts sub-group meetings
- take and distribute notes at shorts sub-group meeting
- Assisting with licensing of long listed short and feature material
- Assisting with the co-ordination of invitations, RSVPs and guests lists for all BIFA events during the awards period
- Assisting in the running of all BIFA events during the awards period
- Assisting with the BIFA Springboard talent development programme including (but not limited to):
- preparation of materials for sessions
- transcribing sessions
- assisting during the sessions themselves
- uploading recordings of sessions onto Springboard hub
- Assisting with the administration of E,D&I sessions including (but not limited to):
- distributing pre-session information to participants
- distributing tool kits and feedback forms post session
- analysing session feedback
- assisting with ongoing project reporting
- taking attendance registers during sessions
- managing ScreenSkills session registrations and confirmation of attendance
- Providing general administrative support to the BIFA team
ESSENTIAL SKILLS, ABILITIES & KNOWLEDGE
- Organisation, administration and attention to detail: these are the most important aspects of this role. The success of the awards depends on its processes being managed efficiently and accurately; we are looking for someone with a flair and affinity for coordinating intricate and complex projects
- Time management and multi-tasking: we are a small team, our awards timeline gets very tight especially in the Autumn and lots of things happen at once, so a calm head under pressure is also very important
- Communication: excellent verbal and written communications skills
- Proficiency in the following software / programmes: Microsoft Office, Google Drive, Zoom
Also useful (but not essential):
- Experience and knowledge of the UK film industry
- Awareness of industry issues e.g. diversity and inclusion, accessibility
- Proficiency in: Keynote, Eventbrite, Notion, Slack

Document 1 is information for a tool kit to be sent to participants post training session. Using the information please create a PDF document that clearly lays out the information in a structured and aesthetically pleasing way.
Task 2:
Document 2 has information about an upcoming training session. Please draft an email to the participants with all the relevant information.
Task 3:
Document 3 is a list of invitees for an event. Please create an RSVP list in excel which will automatically count up the number of invites sent out and awaiting response, RSVPs received (yes and no) and the total number of possible guests.
